Duplicate Bluebeam Tool Sets: Clean Up Without Losing Work

Do Not Delete the First Duplicate You See

Two similarly named Tool Sets may contain different project edits or come from different profiles. Export each candidate before cleanup and compare names, tool contents, subjects and intended owner. A safe cleanup starts with recoverable copies.

Create a Recovery Set

Use this sequence before consolidating duplicates:

1. 1Export every candidate Tool Set to a temporary review folder.
2. 2Create a full Revu settings backup.
3. 3Rename exported files with their source profile and review date.
4. 4Test each BTX in a clean review profile.
5. 5Choose one approved master and copy any genuinely unique tools into it.
6. 6Export the consolidated master under a new versioned name.

Use Names That Expose the Version

Bluebeam recommends unique names for profiles and Tool Chests. Use a stable pattern such as Company-Discipline-v1.2-2026 rather than Final, Final-New or Copy. The name should tell a user which discipline, owner and release they are using without opening the BTX file.

Separate Master and Project Copies

Keep the approved master read-only for normal users. Project teams can import local copies and export project-specific versions without modifying the baseline. For a shared network Tool Set, control write access through file permissions and assign a maintainer.

Retire Old Versions Deliberately

After the new master is tested and distributed, document which older versions it replaces. Keep at least the previous approved release in an archive. Remove or hide old sets only after users confirm that project-specific tools were preserved and the replacement imports successfully.
