Use the Bluebeam Markups List for Estimating and CSV Exports

Turn consistent Revu counts and measurements into a reviewable estimating table using Subjects, custom columns, filters, formulas and controlled exports.

Start With Reliable Markup Data

The Markups List is only as useful as the markups feeding it. Calibrate the drawing, use controlled Subjects, confirm measurement units and place a test quantity before building a report. A clean Tool Chest reduces manual recoding because repeated tools arrive with the same category and appearance.

Choose the Columns the Estimate Needs

Build a compact working view before exporting:

  1. 1Open the Markups List and show Subject, Label, Page, Count or Measurement, Comments and Status as required.
  2. 2Add a trade, zone, level, drawing revision or material custom column only when it supports a real decision.
  3. 3Use controlled Choice values instead of free text for fields that must group consistently.
  4. 4Reorder columns into the same sequence used by the estimating workbook.
  5. 5Save reusable custom columns to the appropriate Revu profile and project-specific columns to the PDF.

Use Choice and Formula Columns Carefully

Bluebeam documents Choice columns with optional numeric values and Formula columns that can calculate from measurement data. This can support a preliminary quantity-times-rate workflow. Keep rates dated and traceable, confirm units before calculation, and treat the result as review data rather than an automatically approved commercial estimate.

Filter Before You Summarise

Use Markups List filters to isolate the intended author, Subject, page, space, status or project area. Check the visible rows against the drawing and clear unintended filters before issuing a complete report. A filtered export can be useful, but it should be named so recipients know it is not the entire drawing set.

Export a Reviewable Summary

Bluebeam supports Markups List summaries with selectable columns, filters, sort order and output settings. Revu 21 Basics limits this summary output to PDF, while other eligible plans can provide CSV or XML options. Open the exported file, confirm row counts and totals, and store the source PDF revision beside the estimate.

Run a Final Quantity Check

Compare exported totals with visible count groups on representative sheets. Check duplicate markups, hidden layers, drawing revisions, scale changes and items excluded by filters. Record who completed the takeoff and who reviewed it so later revisions have a defensible baseline.
